Privacy Policy

Effective 24 August 2026 • THE ZEN DEN, Ōmokoroa, New Zealand

Overview

THE ZEN DEN (“we”, “us”, “our”) is a private, home-based hair studio operated by Rachel in Ōmokoroa, Bay of Plenty, New Zealand. This policy explains what personal information we collect through this website, why we collect it, how we look after it, and the rights you have over it. We are committed to handling your information responsibly and in line with the New Zealand Privacy Act 2020.

By using this website or making a booking with us, you agree to the collection and use of information as described in this policy.

Information We Collect

We only collect the information we genuinely need to run your appointment and the studio. This includes:

  • Booking details: full name, email address, mobile number, the service and appointment time you select, and any hair history, texture notes, or special requests you choose to add.
  • Appointment preferences: your hair length category, whether you’d like a “Quiet Chair” appointment, your refreshment choice, and your patch-test acknowledgement for colour services.
  • Soul Path Reading details: if you book a Soul Path Reading, we also collect your date, place, and time of birth, which are required to prepare your numerology reading.
  • Direct communications: anything you tell us by phone, text message, email, or Instagram DM when arranging or discussing an appointment.

We do not ask for or knowingly collect payment card details, government ID numbers, or health information beyond what you voluntarily share with us for your hair or scalp treatment (for example, an allergy or a skin sensitivity relevant to a patch test).

How We Use Your Information

We use your personal information only to:

  • Create, confirm, reschedule, or cancel your booking, and hold your reserved time slot;
  • Send you booking confirmation, reminder, and studio arrival/parking emails;
  • Prepare your requested service, including your Soul Path Reading where applicable;
  • Respond to questions or requests you send us directly; and
  • Keep basic business records we’re required to retain (for example, for tax purposes).

We do not use your information for advertising, and we do not sell, rent, or trade your personal information to any third party.

How We Store and Protect It

Booking information you submit through this website is stored securely on our booking system and is accessible only to Rachel for the purpose of managing appointments. Booking confirmation and notification emails are sent using a Gmail business account. We take reasonable technical and organisational steps to protect your information from loss, misuse, or unauthorised access, but no method of electronic storage or transmission is ever 100% secure.

Our exact studio address is intentionally kept private and is shared only with clients who have a confirmed booking, sent automatically as part of your confirmation email.

Who We Share It With

We do not share your personal information with third parties for their own marketing purposes. Your information may only be seen by service providers who help us run the studio’s booking and email systems (for example, our website host and Google, which delivers our confirmation emails), and only to the extent needed to provide those services.

Data Retention

We keep booking records for as long as reasonably necessary to manage our client relationships and to meet our legal and accounting obligations. If you’d like us to delete personal information we hold about you that we are not legally required to retain, contact us using the details below and we will action this promptly.

Your Rights

Under the New Zealand Privacy Act 2020, you have the right to ask for access to the personal information we hold about you, and to ask us to correct it if it’s wrong. To make a request, simply email or text us using the contact details below — there’s no charge for a straightforward request.

If you believe we have mishandled your personal information and we haven’t been able to resolve your concern directly, you have the right to make a complaint to the Office of the Privacy Commissioner.

Cookies & Website Analytics

This website does not use advertising or tracking cookies. We do not run third-party analytics or marketing pixels. Any technical data your browser exchanges with our server (such as during a booking submission) is used solely to operate the booking system itself.

Children’s Information

We offer kids’ haircuts as a service, but bookings must always be made by a parent or guardian, who provides their own contact details at the time of booking. We do not knowingly collect personal information directly from children.

Changes to This Policy

We may update this policy from time to time to reflect changes to our studio or the law. Any changes will be posted on this page with a new effective date.
